Electronic office card / institution card (SMC-B and SMC-B ORG) and institution certificates (SM-B)

General

D‑Trust, a company of the Bundesdruckerei Group, issues the SMC-B card for a term of five years. The invoice amount is due and payable once within 30 days after the order was placed. We are unable to offer any other alternative order process to practices that already know at the time the order is placed that they will close before the term expires.

If a doctor closes his practice or is unable to use his SMC-B card for the full term, he can send an ex gratia request to our Support team when the SMC-B is no longer in use.

In this case, you will need the following information:

  • Customer number and invoice number as shown in the invoice received
  • ICCSN – can be found on the card body of the card ordered
  • Reason for the ex gratia request

Your case will then be examined. If the request for ex gratia is successful, you will receive an adjusted invoice in the form of a credit note for part of the original invoice amount. The SMC-B card will be revoked and can no longer be used.

D-Trust issues the SMC-B card for a term of five years. The invoice amount is due and payable once within 30 days after the order was placed. The original owner of the SMC-B card can send a request for ex gratia to our Support team.

Your case will then be examined. If the request for ex gratia is successful, you will receive an adjusted invoice in the form of a credit note for part of the original invoice amount. The SMC-B card will be revoked and can no longer be used.

The successor then requests a new SMC-B card with a term of five years on our ordering portal.

If the BSNR changes, the doctor must submit an application for a new SMC-B card using our ordering portal. D-Trust will issue a new SMC-B card with a term of five years. You will receive a new invoice for this card.

Once the new card is installed, we will request that you send an ex gratia request to our Support team regarding the SMC-B card that is no longer needed. In this case, you will need the following information:

  • Customer number and invoice number as shown in the invoice received
  • ICCSN, this can be found on the card body of the card ordered
  • Reason for the ex gratia request

Your case will then be examined. If the ex gratia request is successful, you will receive an adjusted invoice in the form of a credit note for part of the amount invoiced for the original SMC-B. The original SMC-B card (with the old BSNR) will be revoked and can no longer be used.

It is no longer possible to cancel the order once it has been released by the association in charge (KV/KZV) because the card is then produced automatically. After receiving the card and the invoice, the practice can submit an ex gratia request via our support team. In this case, you will need the following information:

  • Customer number and invoice number as shown in the invoice received
  • ICCSN – can be found on the card body of the card ordered
  • Reason for the ex gratia request

Your case will then be examined. If the request for ex gratia is successful, you will receive an adjusted invoice in the form of a credit note. The SMC-B card will be revoked and can no longer be used.

Activation of the SMC-B card for medical practices/institutions

Both cards are activated on D-Trust's Application Portal using the SMS-TAN procedure or the service password. Please note that the PIN letter must be ready and at hand at the time of activation.

D-Trust produces the SM-B institution certificates and sends them to the Key Manager, who fills the hardware security module (HSM) with the institution certificates. The applicant or the applicant’s representative then activates the certificates. A separate PIN/PUK letter is not sent.

Blocking the office card / institution card or institution certificates

If the SMC-B or SMC-B ORG card is lost or if you give up the institution, you should ensure the card is blocked to prevent misuse.

The SMC-B/SMC-B ORG card and the certificates contained on the card are blocked on Bundesdruckerei’s online Application Portal using the SMS-TAN procedure or a service password. Blocking can also be initiated by the card issuer, i.e. the relevant Association of Statutory Health Insurance Physicians/Dentists or the German Hospital TrustCenter and Information Processing (DKTIG).

  1. Log in to the D-Trust Application Portal at https://ehealth.d-trust.net/antragsportal/ using your transaction number and the password for the online Application Portal. You can find these on the cover sheet of your application.
  2. Identify the card to be blocked by its unique ICCSN and click the ‘Block’ button.
  3. Select the ‘Service password’ checkbox for the option ‘Please choose how you want to block the card’.
  4. Enter the service password chosen by you in the ‘Service password’ field. You will find the service password on page five of the application documents for your SMC-B card.
  5. Activate the checkbox: ‘I hereby request irrevocable and final revocation of my certificate product’.
  6. Finish by clicking the ‘Yes’ button.

Blocking of the SMC-B or SMC-B ORG card is irrevocable and final.
